Toyota Insurance Management Solutions (TIMS), a Plano-based provider of personalized car insurance for Toyota customers, faced a growing internal challenge: critical company updates and reminders were being lost in employee inboxes. With a team of 125 employees focused on delivering high-touch customer service, the "overflowing inbox" was hindering alignment and engagement across the organization.

To solve this, TIMS partnered with MeBeBot to launch "HR Buddy," an AI-powered assistant integrated directly into Microsoft Teams. This solution replaced traditional email blasts with targeted, automated notifications and personalized nudges that reach employees where they already work.

To solve this, Chief People Officer, Charlotte Kilpatrick introduced a more effective way to keep employees informed and connected, ensuring everyone stayed aligned with what was happening across the organization.  

The Solution

Toyota Insurance Management Solutions partnered with MeBeBot to launch the "HR Buddy" AI Assistant, which included the following key features:

  • AI-Powered Communications/Notifications, delivering concise, engaging reminders and updates directly to employees via Microsoft Teams.
  • Personalized Messages, that can be sent to specific employees, such as a welcome message to new hires or reminders to individuals that need to complete a specific process.
  • Automated scheduling: Nudges and reminders are sent to employees at specific times/dates, to gain attention during the workday.
  • Strong support of HR Buddy by employees, as these nudges are also available via Microsoft Teams on mobile phones, to reach employees when they have mid day breaks from their busy days.
